Why Your Leads Aren’t Booking

A med spa can generate hundreds of leads and still wonder why the schedule is not filling up.

The problem may not be the number of leads coming in. It may be what happens after someone shows interest.

Rebekah and Janelle take a broader look at lead conversion, starting with an opportunity many practices do not even think of as a lead: the patient already sitting in the clinic.

Rebooking should begin before that patient reaches the front desk. Providers need to establish what comes next, explain the treatment plan, and create a clear expectation for follow-up. When the patient gets to checkout without that direction, the front desk is left trying to close a conversation they did not start.

Phone calls create another major opportunity. A potential patient asking about Botox does not need a flat “yes” followed by a price. They need someone who can guide the conversation, explain why the practice is different, answer enough questions to build confidence, and paint a picture of what the experience will be like. That first phone call is effectively the clinic’s handshake.

Digital leads are no different.

Rebekah shares that average conversion is around 20%, but some practices perform significantly better while others fall far below that. The difference is not always lead quality. Sometimes the follow-up is overwhelming, too transactional, slow, or simply stops after answering one question.

For managers, that means looking beyond the lead count. Review conversations. Listen to calls. Audit response times. Coach the team on what exceptional communication actually looks like.

Because you cannot always control how many leads arrive. You can control what happens when they do.
